What to Look for When Choosing a Property Manager in Dallas-Fort Worth

Not all property management companies are created equal. Here's what DFW property owners should actually focus on when evaluating a management company — and it's not just about fees.

If you own a rental property in the Dallas-Fort Worth area, choosing a property manager is one of the most important decisions you'll make. The right partner protects your investment and saves you time. The wrong one costs you money you never see coming.

Here's what actually matters — from a company that manages properties across 85+ DFW cities.

It's Not Just About the Monthly Fee

Most property owners start by comparing management fees. That's understandable, but it's a bit like choosing a doctor based on the copay. The fee tells you almost nothing about the quality of service.

What you should be asking instead:

"What's included?" Some companies bundle everything into one flat fee. Others charge separately for leasing, renewals, inspections, photos, maintenance coordination, and eviction management. A lower monthly rate can end up costing more when the extras pile up.

"Are there fees during vacancy?" If your property is empty, you shouldn't be paying a management fee. Not every company works this way, so ask.

"Do you mark up maintenance costs?" Some managers add a percentage to every vendor invoice. We don't — we pass through the actual vendor cost. Over the life of a tenancy, this adds up significantly.

What Actually Drives Your Return

The management fee is one of the smaller line items in your annual rental P&L. What really moves the needle is:

Vacancy time. Every month your property sits empty costs you a full month of rent plus ongoing expenses (mortgage, insurance, taxes, HOA). A good property manager prices your home correctly, markets it aggressively, and fills it fast. Our average time-to-lease is under 30 days.

Tenant quality. One bad tenant can erase years of profit. Professional screening — credit, criminal, eviction, income verification, landlord references — dramatically reduces the chance of late payments, property damage, and eviction. Our eviction rate is under 1%.

Maintenance costs. Established managers have vendor relationships that get you better pricing and faster response times. We've built a network of licensed, insured vendors across the entire DFW metroplex who we've worked with for years.

Lease renewals. Tenant turnover is expensive. The make-ready between tenants (painting, cleaning, repairs) plus vacancy time adds up fast. We proactively manage lease renewals to keep good tenants in place.

Questions to Ask Any Property Manager

Before you sign with anyone, ask these:

  1. How do you screen tenants? If they can't walk you through a detailed process covering credit, criminal, eviction, income, and rental history — that's a red flag.

  2. How do you handle maintenance requests? You want 24/7 online request capability, a network of vetted vendors, and transparency on costs. Ask for examples of how they've handled emergency repairs.

  3. How will I see my financials? You should have access to an online owner portal with real-time statements, not just a monthly email.

  4. What happens if my tenant stops paying? Understand the eviction process before you need it. Ask about their track record and whether eviction coordination is part of your service agreement.

  5. Can I see reviews from current clients? Look for Google reviews, BBB ratings, and ask for references from owners with similar properties.
